Cost Center, Internal Order Planning
So, we will do cost center planning, and then we can do internal order planning and then we can compare the actual versus your plan. So, let’s go in the SAP Main Menu Accounting 🡪 Controlling 🡪 Cost Center Accounting 🡪 Planning.
Thank you for reading this post, don't forget to subscribe!First thing you do is you set your planner profile. This transaction you have to run before you post anything to planning.Â
So normally, there should be one for SAP all. So, yeah, this is standard SAP layout. So, I’ll just select ‘SAPALL – CO Planning: All Planning Areas’ and continue. That was my first step.Â
Now I will go in KP06 to enter my plan values. So now Version, we are doing 0, Period 1 to 12. So, I can either do it by Cost Center range, or Cost Center group. So, this is a cost center group, and this is a cost center range. Same thing with the cost element. So, let’s enter my cost center. So, we will do it from 50000 to 50030. And let’s do our cost element group, which we call SPENDING. So, we will do SPENDING.Â
So, we can also enter a cost center group here and also, cost element group here and cost center group here. And then what will happen in the next screen, it will give us all the GL accounts that are in this cost element group, it’ll give the first cost center, in that range. And then we have to enter information, by each cost center. So, let’s do form based. So, Spending, and from 50000 to 50030.
Now click this, ‘Overview’.Â
So now what I have, I have my first cost center and all the GL accounts that were included in the cost element group, ‘Spending’. So, these are the GL accounts, and this is the first cost center in the range that I entered. Now, these are the values that I’ve already entered, so they’re coming up. I want to go to the next cost center in my range that I entered in the selection. I can click on the arrow down button at the top, ‘Next Combination’. So, I’ll go to the 10, 50010, and then 50020. I have the same value, so you don’t see the difference.Â
But now the 3rd, and now I’m done. There is no Next Combination. So that’s how you will enter your plan values for a cost center. So, this was the Cost Center Planning.Â
Let’s go over Internal Order Planning. Just like Cost Center, I will go in Internal Order 🡪 Planning, and it also has KP04, but we already set it to SAPALL. So That transaction now to enter plan values for internal order is KPF6. So, enter KPF6. I will look for my internal orders. So, I will enter this 200022 – Project A. This is one of my orders.
So, screens are almost the same. I’ll click on overview. So, these are my values, plan values for this project or order.Â
And it works exactly the same as cost center plan.
Now if I were to run reports, under Internal Order, I will go in Information System, Report for Internal Orders, PlanActual Comparisons. Click on this report (S_ALR_87012993 – Orders: Actual/Plan/Variance). And the Order was 200022, Cost Element group: SPENDING. And I’ll run this report. And these are my plan values.Â
If I want to convert this to Excel, click on the fourth button from the left (Options/ Office Integration).
Select Microsoft Excel, click continue, it will open up in Excel. Sometimes it takes a little bit longer. So, if you don’t want that, you can just go back and change that to inactive. And, also we see that when it opens for the first time, it takes some time. But after that, it will be quick. So, here’s the report.Â
And there’s also another way of doing the plan, to upload plan values from Excel also.
Like this screen,Â
we can also upload from Excel instead of the SAP screen. And there’s just one setting in IMG that if you do, if I’m doing for Cost Center; Cost Center Planning 🡪 Manual Planning 🡪 User-Defined 🡪 Define User-Defined Planning Profiles. And what was the name of my profile? I think we were doing ‘SAPALL’; General controlling, Select ‘Cost ctrs: Cost element/activity inputs’, go to Layouts for ControllingÂ
If I change this to integrate, that’s how it works in 4.5, so check this Integrated Cell. So now this layout that we were using (1-101), will open up in Excel, or we can just change this to Excel. And then if I do that;
So, as you can see, now it opened up in Excel. So, I can easily add more GL accounts here and the values here. So sometimes you if you already have the data in Excel, your plan values for your GL account by a Cost Center, then you can just cut and paste in Excel and just upload it. So sometimes, you know, this is much faster than the standard SAP screen. So let me switch it back to not integrated. So that’s one option there. Because, normally, what we do is we create a new layout for it. Can I do that?
But I don’t think I can use the same one. I have to create a new one with New Entries and then assign it here. So now I have number 5, as integrated.
So, I changed this to number 5, which is this.
So, the first one is not Excel and the number 5 is, and it should change the name of the layout too so you can see. So now this one is in Excel. So that’s an option available that you can use.
So, yeah, Internal Order Planning and Cost Center Planning is very similar. And, again, all the settings are under Controlling, you can either go in Cost Center or Internal Order, same thing. So, I went in Cost Center Accounting, Planning, Manual Planning, and then, Define User-Defined Planner Profiles. And this is the same screen in Internal Order also; Internal Order, Planning, Manual Planning. And this is again, Maintain User-Defined Planner Profiles. It’s the same transaction, and it’ll be the same thing in WBS also for project systems. So yeah, you can have different layouts for your plan. So, my next topic is Asset Accounting.
